Privacy Policy for Apollo Fundraising

Data Protection is a hot topic for fundraisers and charities at the moment, as well as further afield. This notice sets out how Apollo Fundraising collects and uses data.

As a UK-based company, Apollo Fundraising complies with the Data Protection Act 2018 and is registered with the Information Commissioner’s Office (Reference ZA2740760)

There are two aspects of our work that involve the collection and processing of personal data:

Data Collection on ApolloFundraising.com

 Visitors to our website are given the opportunity to sign up to receive emails from Apollo Fundraising. This includes information about the services we provide (including dates of training sessions, workshops and conferences involving Apollo Fundraising staff) and links to blogs, articles and resources we believe will be of interest. The email address is collected using a widget called SumoMe. Emails are currently sent directly from Apollo Fundraising staff, without using a third party provider.

Occasionally, we may also ask if you would be happy to take part in surveys, research or bench-marking exercises. Sometimes this includes the use of third-party platforms such as SurveyMonkey.

We will never sell your data to other organisations, or share it with any third party without your permission. You are free to unsubscribe, or opt-out, from our mailings at any time. If you would like to opt-out, please contact us at david.burgess@apollofundraising.com.

Like many websites, Apollo Fundraising also uses Google Analytics to try and improve visitors’ experience of our website. This software collects information from people visiting the website and uses this data to provide a range of reports. This data includes:

  • The route taken to get to ApolloFundraising.com
  • The pages visited on the website
  • How long people spend on each page
  • The type of device used to access the website
  • Visitors’ geographic location

We use this information to identify the content that our visitors are looking for so that we can ensure it is easy to find. In the case of articles and blogs it also means we can identify the types of content that are most useful to our visitors so that we can ensure we continue to create useful and relevant content.

Google Analytics also enables us to assess which external marketing activities have been most successful. If you would like to opt-out of Google Analytics, we recommend installing the Opt-Out Browser Add-on developed by Google – https://tools.google.com/dlpage/gaoptout

 

Data Collected while Delivering Services to Clients

We collect contact data for client staff working with us on a project. This includes names, job titles, work addresses, work emails and telephone numbers. This data enables us to deliver our services. This data is used to send communications relating to:

  • Providing Project updates
  • Seeking necessary information for delivering the service
  • Invoicing and Accounting
  • Evaluating our services

This data is processed under the basis of Contract.

Communications, including emails, letters and contracts, are securely held on electronic and paper files to provide an accurate record as the project progresses and develops.

Following the completion of the project, these documents will be kept indefinitely to enable us to respond to later queries or enquiries. However, data or information we believe to be of a sensitive nature will be deleted after one year.

Occasionally, the nature of our work requires us to process data relating to third party individuals. This could include, but is not limited to, data relating to a client’s supporters, potential supporters and volunteers (including board members and ambassadors). In these situations, Apollo Fundraising will be operating as a Data Processor on behalf of the client (the Data Controller).

Before processing any third party data we will establish an agreement with the client, setting out what processing will take place, the purpose for this processing, the type of data to be processed by Apollo Fundraising and the duration of processing.

As a Data Processor we will ensure the data is kept secure when being sent between the client and Apollo Fundraising. It will be stored in a secure way. It will only be processed in line with the agreement, following the instructions of the client as Data Controller. All third party data will be promptly anonymised or deleted (as appropriate and in line with the agreement) when the required processing has been completed.
